How to Convert a Bank Statement PDF to Excel (Free & Fast, Any Bank)

If you have ever tried to copy transactions out of a bank statement PDF into Excel, you know the pain: columns break, dates turn into text, amounts land in the wrong cells, and a 6-page statement eats an entire afternoon. This guide walks through every practical way to convert a bank statement PDF to Excel — from free manual methods to a one-tap AI option on your iPhone — so you can pick the one that fits your statement and your time.

Why bank statement PDFs are hard to convert

A PDF is built for printing, not for data. What looks like a neat table on screen is usually just text placed at fixed positions on a page. When you copy it, the “table” falls apart. Bank statements add extra problems:

  • Multi-line descriptions — one transaction can wrap over two or three lines, so a simple copy creates extra rows.
  • Separate debit and credit columns — some banks use one amount column with a minus sign, others use two columns, and some add “Dr/Cr” labels.
  • Running balance — useful for checking your work, but it often gets merged with the amount when copied.
  • Headers and footers on every page — page numbers, bank address and “carried forward” lines end up mixed with real transactions.
  • Password protection — many banks lock e-statements with a password, which blocks most converters.
  • Scanned statements — a photo or scan has no text layer at all, so copy-paste does nothing.

Method 1: Copy and paste (free, good for 1 page)

  1. Open the PDF, select the transaction table and copy it.
  2. In Excel, right-click a cell and choose Paste Special → Text.
  3. Select the pasted column and use Data → Text to Columns to split by spaces or a fixed width.
  4. Fix dates (Data → Text to Columns → Date format) and convert amounts to numbers.

Best for: a single page with a simple layout. Downside: slow and error-prone on longer statements, and it does not work on scanned or locked PDFs.

Method 2: Excel’s “Get Data from PDF” (free if you have Microsoft 365)

Excel for Windows with Microsoft 365 can import tables straight from a PDF:

  1. Go to Data → Get Data → From File → From PDF.
  2. Pick your statement. Excel shows the tables and pages it detected.
  3. Select the transaction table and click Transform Data to clean it in Power Query, or Load to drop it straight into a sheet.
  4. If your statement spans several pages, combine the page tables in Power Query.

Best for: clean, digitally generated statements on a desktop. Downside: not available in every version of Excel, struggles with wrapped descriptions, and cannot read scanned statements.

Method 3: Online PDF converters

Generic PDF-to-Excel websites convert the whole page layout into cells. They are quick, but they do not understand what a “transaction” is, so you usually still need to delete headers, merge wrapped lines and split debit and credit by hand. Also think about privacy before uploading: a bank statement contains your account details, balances and spending history. Check how long a site keeps your file before you upload it.

Method 4: Convert on your iPhone with AI (PDFtoXL)

We built PDFtoXL because none of the methods above handled real-world statements well. Instead of copying the page layout, it uses AI to read the statement the way a person would and pulls out each transaction as one clean row.

  1. Open PDFtoXL and upload your bank statement PDF — or scan a paper statement with your camera.
  2. If the PDF is password-protected, enter the password in the app.
  3. The AI extracts every transaction: date, description, debit, credit and running balance.
  4. Download a ready-to-use Excel file and share it to Files, email or your accountant.

It works with any bank, any country and any layout, handles multi-page statements, and your document is not stored on our servers after conversion. Your first 10 pages are free and no account is needed.

Tips for a clean spreadsheet after converting

  • Check the balance: opening balance + credits − debits should equal the closing balance. If it does not, a row is missing or duplicated.
  • Format dates as real dates so you can sort and filter by month.
  • Add a Category column (rent, food, software, travel) and build a PivotTable to see where your money goes.
  • Keep one sheet per month and a summary sheet for the year — this makes tax time much easier.

FAQ

Can I convert a password-protected bank statement to Excel?

Yes, but you need the password. Most desktop and online tools cannot open locked statements; PDFtoXL lets you enter the password in the app and then converts it.

Can I convert a scanned or photographed statement?

Only with a tool that can read images. Copy-paste and Excel’s PDF import need a text layer. PDFtoXL can scan a paper statement with your iPhone camera.

Is it safe to convert bank statements online?

It depends on the service. Prefer tools that state clearly that files are not stored after conversion, and avoid sites that do not explain what happens to your data.

Does it work for any bank?

Manual methods work with any bank but take time. PDFtoXL is designed to work with any bank and any statement format, in any country.
